EVAREG Terms Of Service: 2026 Edition
1. Introduction: Who We Are and Why We Collect Your Information
EVAReg LLC ("EVAREG," "we," "us," or "our") owns and operates EVA Event Tech, a unified event technology platform that provides services to our customers, including event sites, registration, ticketing, check-in, attendee engagement, analytics, artificial intelligence driven insights, virtual and hybrid event support, and related backend support.
When you register for or attend an event hosted by one of our customers, you may provide personal information to us, and we may collect and process personal information about you and others. This information may, in limited cases, include sensitive or special categories of personal information, depending on the configuration and data collection choices of our customers.
We take the privacy and security of personal information seriously. Please read this Privacy Policy carefully to understand our practices. By using EVA Event Tech or any related services, you acknowledge that you understand and accept the practices described in this Privacy Policy and expressly consent to the collection and processing of personal information as described below.
2. What Does this Privacy Policy Cover
This Privacy Policy covers EVAReg LLC’s collection and processing of the following categories of information, to the extent applicable:
Personally identifiable information protected under applicable United States data protection and breach notification laws.
Protected health information under the Health Insurance Portability and Accountability Act, if and to the extent EVAReg LLC acts as a business associate of a covered entity.
Information protected by the California Consumer Privacy Act, California Privacy Rights Act, and California Online Privacy Protection Act.
Information protected by the New York SHIELD Act.
Information protected by the General Data Protection Regulation, the Canadian Personal Information Protection and Electronic Documents Act and related provincial laws, and the Brazilian General Data Protection Law.
Collectively, these laws are referred to as the "Privacy Laws." All information protected by the Privacy Laws is referred to as "Personal Information." This Privacy Policy does not apply to the practices of companies that EVAReg LLC does not own or control, or to individuals that EVAReg LLC does not employ or manage.
3. What Information does EVA Event Tech Collect
EVAReg LLC limits the type and amount of Personal Information collected to what is reasonably necessary to deliver and operate EVA Event Tech.

Because EVA Event Tech supports event registration and management activities, you or others may provide information including, but not limited to:
Name
Address
Email address
Phone number
Organization or employer
Job title
Travel details
Session selections
NameCertification or attendance related information
Payment related details
Any other information required for event participation or administration
You may provide Personal Information when you visit our websites, register for events, create an account, communicate with us, or otherwise interact with EVA Event Tech. You may choose not to provide certain information, although this may limit functionality or access to certain services.
Information Collected Automatically
When you interact with EVA Event Tech, we automatically collect certain information from your browser or device, including:
IP address
Browser type
Device information
Operating system
Usage data related to the platform
Cookie and similar tracking information
Cookies are small data files placed on your device that help us understand how users interact with the platform. You may adjust your browser settings to refuse cookies or send do not track signals, although doing so may impact certain features. This Privacy Policy does not govern the use of cookies by third parties.
Email and Other Communications
We may communicate with you by email or other electronic means. When we do so, we may collect information confirming whether messages are opened or interacted with, which helps us improve our services. You may opt out of non essential communications, but legal or service related notices may still be sent.

Except as expressly required by our customers, EVAReg LLC does not knowingly collect special categories of Personal Information, such as information revealing racial or ethnic origin, political opinions, religious beliefs, trade union membership, genetic data, biometric data, health information, or data concerning sexual life or orientation. Where such information is processed, EVAReg LLC acts as a processor and relies on the customer acting as controller to obtain appropriate consent.
Personal Information Collected in the Last 12 Months
In the preceding 12 months, EVAReg LLC may have collected the following categories of Personal Information: identifiers, contact information, professional information, payment related data, IP addresses, location data, device and browser information, usage data, login credentials, communication content, profile information, and event participation data.
4. How We Use Personal Information
EVAReg LLC may use Personal Information for the following purposes:
To fulfill contractual obligations with customers
To operate, maintain, improve, and secure EVA Event Tech
To enable event registration, check-in, attendance tracking, and engagement
To provide analytics and artificial intelligence driven insights within the Salesforce environment
To communicate with users regarding services, updates, or support
To analyze usage trends and improve platform performance
To comply with legal obligations and enforce agreements
We may use certain information in aggregated or anonymized form for analytics, reporting, and benchmarking purposes.
5. Sharing of Personal Information
EVAReg LLC may share Personal Information in the following circumstances:
Agents and Service Providers
We may share Personal Information with trusted service providers who perform services on our behalf. These providers are permitted to use Personal Information only as necessary to perform services for EVAReg LLC.
Business Transfers
In the event of a merger, acquisition, asset sale, reorganization, or similar transaction, Personal Information may be transferred as part of the business assets.

We may disclose Personal Information when required to comply with law, legal process, or governmental requests, or to protect the rights, property, or safety of EVAReg LLC, our users, or others.

EVAReg LLC processes Personal Information based on one or more of the following legal grounds:

Compliance with legal obligations
Legitimate business interests in operating and improving EVA Event Tech

Correction or update of inaccurate information
Deletion or restriction of processing
Information about how your data is collected and used
A copy of your Personal Information in a portable format

10. Security of Personal Information
We implement appropriate administrative, technical, organizational, and physical safeguards designed to protect the confidentiality, integrity, and availability of Personal Information. No system is completely secure, but we continuously review and improve our safeguards.
11. Children’s Privacy
EVA Event Tech is not intended for use by individuals under the age of 16. We do not knowingly collect Personal Information from children under 16. If such information is identified, it will be deleted promptly.
12. Failure to Provide Personal Information
You may choose not to provide Personal Information. However, certain information may be required to access or use specific features of EVA Event Tech.
13. Automated Decision Making
EVAReg LLC does not rely on automated decision making or profiling that produces legal or similarly significant effects.
14. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. Updates will be posted on our website or application. Continued use of EVA Event Tech after changes are posted constitutes acceptance of the updated policy.
