This Privacy Policy will explain how we use the personal data collected from you when you use our products and services. Scope This policy applies to: Services: SIPPIO’s communications solutions, including IP voice, hosted VoIP, managed network services, etc. Information Collection: personal information such as names, contact information, and user preferences. Cookies and Web Technologies: use of cookies and web beacons to improve user experience. Advertising: data collection for relevant advertising activities. Use of Information: activities such as account management, communication, and service improvement. Feedback: collection and use of anonymized feedback for improvement purposes. Information Protection: implementation of security procedures to protect privacy information. Staff and Personnel: all SIPPIO’s employees, temporary staff, partners, contractors, vendors, suppliers, third parties, and any other individuals or entities who have access to privacy data. Information Sharing: sharing with business partners, vendors, and affiliates. Data Subject: identified or identifiable natural person who has ability to update, revise, and delete their data, as well as accept or withdraw consent. International Transfer: some information that is transferred, stored, and processed in other countries if necessary. This privacy program is applicable to all customer related data and services, and only certain staff or departments have the access to privacy data with reasonable and legal purposes. Please note, this policy covers no privacy requirements of external links to other websites. We utilize Microsoft Azure, a global cloud services platform, as data processing environment, with all features and functionalities in place to use, process, and protect collected data. Choice and Consent Requirements of Consent Acknowledgement and consent are required by SIPPIO for the legal and proper collection, use, or disclosure of personal information prior to processing your personal information. With your consent, we process your personal information to provide, improve, and administer our services, communicate with you, for security and fraud prevention, and to comply with law. We also manage your information for other purposes with your consent. We process your information only when we have a valid legal reason to do so. Please note that in some exceptional cases, we may be legally permitted under applicable law to process your information without your consent. SIPPIO has established a process for obtaining, logging, and documenting your consent and retain evidence. Acknowledgement: SIPPIO will check and verify the recipient of your acknowledgement and prepare for your services. Verification: You may be required to provide materials to prove your identity. SIPPIO only accepts consent from the data subject who must be 16 or older, otherwise, the consent must come from a legal guardian. Data Storage, Retention, and Disposal SIPPIO is committed to protecting your data and ensuring its privacy. We store your data securely within Microsoft Azure data centers in the United States. These data centers adhere to strict physical and technical security measures, including: Physical Security: 24/7 monitoring, restricted access, and environmental controls to safeguard against unauthorized access, theft, or damage. Network Security: Advanced firewalls, intrusion detection systems, and encryption technologies to protect data in transit and at rest. Data Access Controls: Role-based access restrictions and audit logging to ensure only authorized personnel can access data. We retain different types of data for varying periods, depending on their purpose and applicable legal requirements: Account Information: SIPPIO retains account information, including name, email address, and contact details, for the duration of the account’s active status. Transactions Data: SIPPIO maintains records of transactions and payments for a period of up to five years in compliance with financial regulations. SIPPIO utilizes OneBill as a sub-processor to process and store transactions data and to perform billing tasks. Usage Data: SIPPIO retains usage data, such as our products activity and app usage and audit logs, for a duration of up to five years. This data is utilized for trend analysis and to enhance our services. Once this time period has expired, SIPPIO will delete your data by the following deletion methods: Secure Data Deletion in Cosmos DB: SIPPIO leverages Azure Cosmos DB and utilizes secure erase commands to permanently delete data from storage devices before decommissioning, ensuring data privacy and compliance. SIPPIO aligns its data deletion practices with industry-standard guidelines and best practices to safeguard your information. Transparency and Assurances: Microsoft Azure is subject to strict data protection regulations and regularly undergoes independent security audits. Their data deletion procedures are designed to ensure your information’s safe and irreversible removal. You can often find detailed information about data deletion practices within the cloud provider’s service agreements and privacy policies. Utilize Customer Proprietary Network Information Some information related to certain communications services that we provide to you constitutes Customer Proprietary Network Information (“CPNI”). For example, CPNI includes to whom, where and when you make calls. Specific federal laws and regulations protect CPNI. We are committed to full compliance with these federal laws and regulations through our Web site and in all other respects. We only will share or disclose your CPNI without your consent (i) to initiate, render, bill and collect for our telecommunications services provided to you; (ii) to protect you, SIPPIO or other carriers from fraudulent or illegal use of, or subscription to, our products and services; (iii) to protect our rights or property; (iv) to provide your call location information in certain specified emergency situations, if applicable; (v) to market to you services or products among the categories of services or products to which you currently subscribe; and (vi) for other purposes permitted by law. Data Security We want you to feel confident about using SIPPIO, and we commit to protecting the information we collect. While no Web site can guarantee security, we have implemented appropriate administrative, technical, and physical security procedures to help protect the Personal Information you provide to us. For example, we permit only authorized personnel to access Personal Information, and they are permitted to do so only for business functions. We also use encryption when transmitting your Personal Information between your system and ours. International Transfer of Personal Data Your personal data may be transferred by SIPPIO to countries outside the European Union (“EU”) and/or the European Economic Area (“EEA”) with your prior written consent and agreement. SIPPIO will take all necessary measures to protect and secure your personal data along with the third parties with whom we may share and process your data, in accordance with EU-approved standard contractual clauses for the transfer of personal data internationally. SIPPIO utilizes Microsoft Azure, a global cloud storage service, to ensure the security of your information. As a result, your data may be transferred across borders and stored in data centers located in the United States. While the United States has data protection laws in place, they may not always provide the same level of protection as the European Union’s General Data Protection Regulation. Keeping Your Information Safe SIPPIO values data security seriously and uses several tools to keep your information protected, even when it travels abroad: Standard Contractual Clauses (“SCCs”): We utilize EU-approved SCCs with any third parties in processing your data outside the EU/EEA. These SCCs require strict security and data protection standards to be upheld by the recipient organization.
