1. About this policy
This policy explains how MeetGeek collects, uses, stores and shares personal data when you use our websites, apps and Services, or interact with us through support, sales, events, surveys or job applications.
It covers data for which MeetGeek is the controller: account, billing, usage, website and communications data. Meeting content (recordings, transcripts, summaries and AI outputs) is processed on behalf of our customers, who are its controllers; MeetGeek processes it as a processor under our Data Processing Addendum. If you were recorded in a meeting, please contact the organisation that recorded it first; we will help them respond. Your use of the Services is also governed by our Terms of Service.
2. Who we are
EU instance: AIVISION PRODUCTS SRL
US instance: MeetGeek US Infra, Inc.
Registered addresses are listed in Section 1 of our Terms of Service.
For both instances, contact us at [email protected]. This address also reaches our data protection contact, including the person in charge of data processing (encarregado) under Brazil's LGPD.
AIVISION PRODUCTS SRL acts as the representative in the European Union of MeetGeek US Infra, Inc. under Article 27 GDPR.
3. What we collect and why
Account data. Name, email, profile image, company, role and authentication identifiers from Google, Microsoft or your SSO provider. We use it to create and run your account. Legal basis: performance of our contract with you.
Billing data. Billing name and address, tax ID, invoices and the last four digits of your card. Full card numbers are held by our payment processor, not by us. We use it to charge fees and keep accounting records. Legal basis: contract and legal obligation.
Calendar and integration metadata. Meeting titles, times and participant names and emails from calendars and tools you connect. For meeting participants who are not MeetGeek users, the source of this data is the calendar or tool of the user who invited them. We use it to schedule the assistant and send outputs where you ask. Legal basis: contract with our user, and our legitimate interest in delivering the Services they requested.
Usage and device data. Feature usage, clicks, IP address, approximate location, browser, device, operating system and crash reports. We use it to operate, secure and improve the Services. Legal basis: our legitimate interest in running a secure, reliable product.
Support data. Messages and attachments you send to our support team. We use it to resolve your request. Legal basis: contract and legitimate interest.
Marketing data. Your email, preferences and the website cookies you accept. We use it for newsletters, product updates and advertising measurement. Legal basis: consent, which you can withdraw at any time by unsubscribing or emailing [email protected].
Research and events data. Interview recordings and notes, survey answers and event registrations. We use them to improve the product and run events. Legal basis: consent for interviews and recordings; legitimate interest for anonymous or short product surveys and event administration.
Job applications. CVs and interview notes. We use them for recruitment. Legal basis: steps before entering a contract; consent for keeping you in our talent pool.
Meeting content. MeetGeek staff do not access your recordings, transcripts or summaries except (a) when you or your admin grant access for support, (b) when needed to investigate a security incident or abuse, or (c) when required by law. Automated systems process meeting content only to deliver the Services to you.
Required and optional data. Account and billing data are required to create an account and provide paid Services; without them we cannot provide the Services. Calendar and integration access is optional, but features that depend on it will not work without it. Marketing, research and cookie data beyond what is essential are always optional.
Automated decision-making. MeetGeek does not make decisions based solely on automated processing, including AI, that produce legal or similarly significant effects on you. AI features produce transcripts, summaries and insights for our users to review; they are not used to make decisions about individuals.
4. No AI training on your content
We do not use meeting content (recordings, transcripts, summaries, chat prompts or AI outputs) to train, fine-tune or otherwise improve AI models, whether ours or those of our AI providers, unless you explicitly opt in in writing. Our AI providers are contractually prohibited from using it for training. We improve the Services using usage analytics that contain no meeting content.
We do not sell personal data, and we do not share it for cross-context behavioural advertising.
5. Where your data is stored
MeetGeek offers EU and US data residency:
EU instance: meeting content is stored at rest in AWS data centres in the European Union.
US instance: meeting content is stored at rest in AWS data centres in the United States.
Some data is processed centrally regardless of instance, such as account and billing data, support conversations (Intercom, United States) and product analytics (Mixpanel, European Union). Each provider and its location is listed on our Subprocessor List.
6. Who we share data with
Service providers that host, process or support the Services under contract, listed on our Subprocessor List.
Integrations you connect, when you instruct us to send data to them.
Our group companies (AIVISION PRODUCTS SRL and MeetGeek US Infra, Inc.) to run the Services.
Authorities, when legally required. Where permitted, we notify affected customers.
A buyer or successor in a merger, acquisition or sale of assets. We will notify you in advance, and you may delete your data before the transfer.
7. International transfers
Personal data may be processed in countries other than yours, including the European Union and the United States, depending on your instance and the providers listed on our Subprocessor List. Where the law of your country restricts such transfers, we rely on the safeguards it recognises: adequacy decisions (including the EU–US Data Privacy Framework for certified recipients), the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, the Swiss equivalent, the standard contractual clauses of Brazil's ANPD, or other contractual safeguards required by local law, together with supplementary measures such as encryption. You can request a copy of the relevant safeguards at [email protected].
8. How long we keep data
Account data: until you delete your account, then deleted within 30 days.
Meeting content: as set by your plan and workspace retention settings, including custom retention periods on Enterprise plans; deleted within 30 days of account closure, and from encrypted backups within a further 35 days.
Billing records: 10 years, as required by accounting law.
Usage analytics: up to 26 months, then aggregated or deleted.
Support conversations: 3 years after the conversation closes.
Marketing data: until you unsubscribe or withdraw consent.
Job applications: 6 months after the process ends, unless you agree to a longer period.
We may keep data longer where the law requires it.
9. Security
All connections use TLS encryption, and data at rest is encrypted. Production systems run on AWS in private networks with least-privilege access, multi-factor authentication and audit logging. MeetGeek is audited annually against SOC 2 Type II. Details are on our Security Portal. We will notify you and the relevant authority of a personal data breach where the law requires it.
10. Your rights
Depending on where you live, you have the right to access, correct, delete or export your personal data, to restrict or object to its processing (including at any time to direct marketing), and to withdraw consent at any time without affecting processing that took place before. Email [email protected]; we respond within one month, or sooner where local law requires. We may need to verify your identity first. You can also delete single recordings or your whole account in the app. Section 11 describes additional rights in specific regions.
You have the right to complain to the data protection authority in the country where you live, work, or where you believe your rights were breached. You can find your authority on the European Data Protection Board's list.
11. Additional information for specific regions
United States. If you are a resident of California or another US state with a consumer privacy law, you have the rights to know, access, correct and delete your personal information, to obtain a portable copy, and to opt out of its sale, sharing for targeted advertising, or profiling. The categories we collect, their sources and purposes are in Section 3, recipients in Section 6, and retention in Section 8. MeetGeek does not sell or share personal information as those laws define it, and does not use sensitive personal information to infer characteristics about you. We will not discriminate against you for exercising your rights. Email [email protected]; you may use an authorised agent, and if we deny your request you may appeal by replying to our decision.
United Kingdom. We process your data under the UK GDPR and the Data Protection Act 2018, with the rights set out in Section 10. You can complain to the Information Commissioner's Office.
Switzerland. We process your data under the Swiss Federal Act on Data Protection. You can complain to the Federal Data Protection and Information Commissioner.
Brazil. We process your data under the General Data Protection Law (LGPD), on the legal bases in Section 3. You have the right to confirmation that we process your data, access, correction, anonymisation, blocking or deletion of unnecessary or excessive data, portability, information about the entities we share data with and about the consequences of refusing consent, and withdrawal of consent. Contact our encarregado at [email protected]. You can also petition the National Data Protection Authority (ANPD).
Canada. You can access and correct your personal information and withdraw consent, subject to legal and contractual limits. Your data is stored outside Canada, in the EU or the US, and may be accessible to authorities there under local law. You can complain to the Office of the Privacy Commissioner of Canada.
Australia. We handle your personal information in line with the Australian Privacy Principles. Your data is stored outside Australia, in the EU or the US. You can access and correct it by emailing us, and complain to the Office of the Australian Information Commissioner if you are not satisfied with our response.
Other countries. If you live elsewhere, you have the rights your local law provides. Email [email protected] and we will respond as that law requires.
12. Cookies
We use essential cookies to run the website and, with your consent, analytics and marketing cookies. You can change your choice at any time through the cookie settings link in the website footer.
13. Children
The Services are not directed at children, and we do not knowingly collect their personal data. If you believe a child has given us personal data, email [email protected] and we will delete it.
14. Changes to this policy
We will notify you by email or in the app at least 30 days before a material change to this policy takes effect.
