Privacy Policy for PFO — Pipedrive For Outlook Last updated: 25 September 2026 Who we are and our role Baymats AB (Swedish company number 559377-9605) provides PFO — Pipedrive For Outlook. Contact us at support@baymats.com. Your organization controls the personal data in its Pipedrive account. When PFO accesses that data to provide the integration, Baymats processes it on your organization's instructions. Baymats also handles account, billing, support, and security data needed to operate PFO. Data PFO handles Pipedrive user and organization details, including identifiers, name, email address, account settings, and authorization tokens. CRM records and Outlook information that you access or update through PFO, such as people, organizations, deals, notes, and email-related details. The connected Pipedrive and Microsoft accounts remain your organization's services. Limited mail-thread matching data stored by PFO, including thread and user identifiers, timestamps, and SHA-256 hashes of email addresses and subjects. Hashes can still be personal data. Billing details such as organization name, billing email, subscription references, country, and information needed to calculate tax. Payment details are handled by Stripe. Technical information such as session data, necessary cookies and local storage, request logs, error reports, performance data, and sampled session replays used to diagnose problems. A replay may contain content visible in the add-in. Why we use it We use this information to provide the integration, authenticate users, maintain the service, handle subscriptions and support, and investigate errors and security incidents. We process account and billing data as needed to provide the service or meet legal obligations. We use technical and diagnostic data for our legitimate interest in keeping PFO reliable and secure. Your organization determines the legal basis for processing the personal data it puts in Pipedrive and accesses through PFO. Cookies and local storage PFO uses cookies and local storage needed for sign-in, sessions, and app preferences. Blocking them may prevent the add-in from working. Service providers and transfers We use DigitalOcean for application and database hosting in the United States, Sentry for error and performance monitoring (including sampled session replay) in the United States, and Stripe for billing and payment processing. PFO exchanges data with the Pipedrive and Microsoft services connected by your organization. We do not sell personal data. Where personal data is transferred outside the EEA, we rely on an applicable EU adequacy decision, including the EU–US Data Privacy Framework where the recipient's certification covers the transfer, or on appropriate safeguards such as the European Commission's Standard Contractual Clauses. Contact us for information about safeguards that apply to a particular transfer. Security and retention We use access controls and encryption to protect data handled by PFO. We retain customer data while the service is active. After the agreement ends, we delete the organization's personal data within 90 days, unless the law requires longer retention. Database snapshots expire after one week. We keep billing records for applicable legal retention periods and diagnostic data for as long as needed for service and security purposes. Your rights Depending on the circumstances, you can request access, correction, deletion, restriction, or portability of your personal data, and object to processing based on legitimate interests. For data in your organization's Pipedrive account, contact that organization first. You can also contact us at support@baymats.com. You have the right to complain to your local data protection authority. Changes We may update this policy and will post the updated version on this page with a new date.
