Beep is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and protect personal information when someone visits and interacts with our website and platform. This privacy policy applies only to Beep-branded websites, mobile apps, extensions, add-ons, and services (the "Services"), including beepaudio.com, the Beep browser extension, and all other applications we provide. Beep is a product and brand of JoWoCo, LLC ("Company", "we", "us" or "our"). This policy does not apply to other JoWoCo products or services. By using our website or Services, you consent to the collection, use, and sharing of your information as described in this Privacy Policy.
Below is a summary of our commitments to you:
We never sell, rent, or lease your data or information.
We don't own the recordings and content you create on Beep.
We aim to be transparent about our policies and practices.
We don't advertise 3rd parties in Beep.
We use security measures to protect you.
We design our Services and policies to support compliance with the Family Educational Rights and Privacy Act (FERPA) and the Children's Online Privacy Protection Act (COPPA) for school-directed use.

Collection of Your Personal Information
We collect or receive information about your interactions with us. Depending on how you use our Services, personal information that we may collect and process include, without limitation, the following:
registration-related information;
transaction-related information (such as preferred means of payment, billing information, billing address and/or a history of purchases through our Services). Payment card details are collected and processed solely by Stripe, our PCI-compliant payment processor. We do not store credit card numbers, expiration dates, or CVV codes on our servers;
customer service information;
location data;
language and localization preferences;
information about any devices, connections and methods used to access and interact with us;
information based on your usage of our Services ("Usage Data");
device and technical data such as hardware and software details, IP address, browser type, access times, and referring URLs, and we may anonymize IP addresses where feasible.
How We Collect Your Personal Information
We collect information through the following methods:
account registration and profile creation;
emails and support requests;
payments and billing transactions;
product usage analytics and feature interactions;
voice recordings you create or upload through the Services.
Audio recordings may constitute biometric information under certain state laws. We use voice data solely to provide recording and transcription services and do not use it for biometric identification purposes.
Cookies and Tracking Technologies
We use cookies and similar tracking technologies to provide, secure, and improve our Services. You can control cookie preferences through the consent banner on our website.
Do Not Track: Our Services do not respond to "Do Not Track" (DNT) browser signals. You can control cookies through your browser settings or our cookie consent banner.
Essential Cookies
Required for core functionality such as authentication, security, and remembering your cookie consent choice (beep-cookie-consent, expires after 365 days). Legal basis: Legitimate interest in providing the Services.
Analytics Cookies (Requires Consent)
We use Google Analytics to understand how the Services are used and to improve performance. These cookies include:

Payments

Behavior Analytics and Recording Data
We use behavior analytics to customize in-product content and to improve how features are presented. For recordings, we may collect associated metadata such as the page URL and page title where a recording was created. We do not conduct behavioral advertising for minors.
How Your Information May Be Used
Your information may be used for purposes that include, without limitation:
to operate and improve the Services available through us;
to fulfill your requests for tools, software, functionality, features and other products, and services;
to manage your account, authentication, and access to recordings;
to communicate with you and respond to your inquiries;
to process transactions, billing, and payments;
to conduct research about your use of our products; and
to provide customer support and technical assistance;
for administration of your account;
to prevent fraud and security incidents, including checks with credit agencies or fraud prevention partners where permitted by law.
Sharing of Your Information
We do not rent or sell your personally identifiable information (such as name, address, telephone number and credit card information) to unaffiliated third parties for their marketing purposes. We may share your information with third parties to provide products and services you have requested, when we have your consent, or as described in this Privacy Policy.
We may share aggregated, non-personally identifiable information, publicly and with our partners like publishers, or connected sites.
We share information only with trusted partners and service providers that are contractually required to protect your information and, for GDPR-regulated data, meet applicable GDPR requirements. We maintain a list of third-party providers on our website atbeepaudio.com/third-party-processors.
The contents of your online communications, as well as other information about you as a user of our Services, may be accessed and disclosed under the following circumstances: in response to lawful governmental requests or legal process (for example, a court order, search warrant or subpoena), in other circumstances in which we have a good-faith belief that a crime has been or is being committed by a user of our Services, that an emergency exists that poses a threat to the safety of you or another person, when necessary to protect either our rights or our property or for us to render the service you have requested.
Many of our Services let you share information with others. When shared privately, we cannot guarantee it is secure. Always use caution in deciding what content you post, and do not post or store any information you would not want others to see.
Our offerings may include features or functionalities provided by third parties, or may integrate or interact with third-party products and services. For example, we may use a third party (such as Google, Digital Ocean, Firebase, etc.) for analytics, performance monitoring, and bug tracking, in which case such third party may have access to your data, subject to its policies. We use third-party transcription providers to convert audio recordings into text. Our current transcription providers are listed on our Third-Party Data Processors page. Under our agreements, these providers are not permitted to use student or user audio, or the resulting transcripts, to train or improve their general-purpose models. In the process of providing such functionalities within our services, your browser or other tools or technology may send certain information to such third party providers and/or services. The use of these third-party-provided features or functionalities is subject to their own privacy policies. See our Terms of Service for more details.
We may provide access to your personal information and usage data to our trusted service providers that assist us with the operation and maintenance of our sites and services.
In the event of a merger, acquisition, sale of assets, bankruptcy, or other transfer of our business to another organization, your personal information and Usage Data may be transferred to the acquiring entity. If such a transfer would result in a material change in the use of your information, we will provide advance notice by email and/or a prominent notice on our website, and you will have the opportunity to delete your account before the transfer. For student data processed under a school contract or other data processing terms, we will notify the educational institution and obtain required consent before any transfer, or facilitate data deletion as requested. The acquiring entity will be required to honor the privacy commitments made in this Privacy Policy or provide you notice and an opportunity to opt out.
We reserve the right to disclose your personal information and Usage Data if we have a good-faith belief that access, use, preservation or disclosure of such information is reasonably necessary (i) to satisfy any applicable law, regulation, legal process or enforceable governmental request (such as for example, to comply with a subpoena or court order), (ii) to detect, prevent, and address fraud or other illegal activity and (iii) to investigate, respond to, or enforce violations of our rights or the security of our sites and services.
Our Commitment to Security
We store data with DigitalOcean and use SSL/TLS encryption in transit and encryption at rest where feasible. We maintain reasonable administrative, technical, and physical safeguards to help prevent unauthorized access to or misuse of your information, including access controls, staff confidentiality obligations, and least-privilege access. However, we cannot guarantee that your information will never be processed, used or disclosed in a manner inconsistent with this Privacy Policy (for example, as a result of unauthorized acts by third parties that violate applicable law or our and our affiliated providers' policies). To protect your privacy and security, we may use passwords or other technologies to register or authenticate you and enable you to take advantage of our Services, and before granting access or making corrections to your information.
Data Storage and Retention
Your personal information is stored and processed in the United States. You understand and agree that We may collect, use, disclose, and otherwise process the information you provide as described in this Privacy Policy even if you are from an area outside the United States. Your personal information may be disclosed in response to inquiries or requests from government authorities or to respond to judicial process in the United States.
We will retain your personal information for as long as it is needed to provide you with the Services, or to fulfill any legal or contractual obligations we may have, or as otherwise permitted herein and by law. We generally delete inactive accounts (accounts without logins in the past year or active subscriptions) after approximately one year, subject to legal or contractual requirements.
For users under the age of 18, recordings are set to auto-expire after one year. For school-directed student data, schools or districts may direct us to expire recordings earlier or later as permitted by applicable law and any agreed data processing terms.
If you are a resident of the EEA: Your personal information may be transferred to and processed in the United States, which has data protection laws that are different than those in your country and may not be as protective.
Your Choices about Your Information
You may choose to restrict the collection or use of your personal information in the following ways:
Whenever you are asked to fill in a form on our website or our other Services, consider what information to include and exclude;
We may provide you with access to your registration information and the ability to edit this information in your account settings dashboard and profile pages. Please be aware that if and to the extent any information is indexable by search engines (including public profile information), it may not be updated by such search engines when we update it;
Some of our Services may provide you with additional information and choices about your privacy, which you should review.
If you have previously agreed to our using your personal information for direct marketing purposes, you may change your mind at any time by writing to us using the contact information below.
You may opt out of marketing emails at any time by using the unsubscribe link in those messages. We may track email opens and clicks to measure engagement and improve our communications.
Your Data Subject Rights
Depending on your location, including California, Delaware, and other states with consumer privacy laws, you may have specific rights regarding your personal information. Below is a summary of these rights and how to exercise them.
U.S. State Privacy Rights
Subject to applicable law and exceptions, you may have the right to:
know and access the personal information we have collected about you, including categories, sources, purposes of use, and third parties to whom we disclose personal information;
request correction of inaccurate personal information;
request deletion of personal information, subject to legal and operational exceptions;
obtain a portable copy of certain personal information;
opt out of the sale or sharing of personal information, targeted advertising, or profiling in furtherance of decisions that produce legal or similarly significant effects, where applicable; and
not receive discriminatory treatment for exercising your privacy rights.

We may need to verify your identity before fulfilling a request and may ask for limited information to match your request to our records and to prevent fraud.
We respond to verifiable requests within the period required by applicable law. In many U.S. states this is 45 days, with an additional extension period where permitted and with notice to you.
If you are a resident of a state that provides a right to appeal a denied request (including Delaware), you may appeal by [email protected] and including "Appeal" in your subject line.
Pursuant to California's "Shine The Light" law (California Civil Code § 1798.83), California residents are entitled, once per year and free of charge, to request the disclosure of certain categories of personal information to third parties for their own direct marketing purposes in the preceding calendar year, if any. You may request this information by contacting us [email protected] and including "California Shine The Light Request" in the email subject line. Please include your mailing address, state of residence, and email address with your request.
Rights for Visitors from the European Economic Area (EEA) or the United Kingdom (UK)
If you are a resident of the EEA or UK, we process your personal information under the following legal bases:
Consent: for optional features, email marketing, and certain analytics or recording permissions where required.
Contract: to provide the Services, manage your account, and deliver recordings and related functionality.
Legitimate interests: to improve the Services, prevent fraud, ensure security, and support our operations, balanced against your rights.
Legal obligation: to comply with applicable laws, regulations, and lawful requests.
If we collected your personal data or information with your consent, you may withdraw your consent at any time.
You also have the right to:
access your personal data;
rectify inaccurate or incomplete personal data;
object to or restrict processing of your personal information;
request portability of your personal information;
request erasure of your personal data;
complain to your local data protection authority at any time;
object to automated decision-making, where applicable; and
update your personal data.

Requests may be subject to reasonable limitations, such as retaining data required for legal obligations, security, or dispute resolution.
Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent.
If we ask you to provide personal data to us to comply with a legal requirement or enter into a contract, we will inform you of this and let you know whether providing us with your personal data is required and if not, the consequences of not sharing your personal data with us.
Similarly, if we collect and use your personal information in reliance on our or a third party's legitimate interests and those interests are not already listed above (see "Information Use" section), we will let you know what those legitimate interests are.
Children's Privacy and Educational Use
We take the privacy of students and children very seriously. This section describes use of our Services in educational contexts and our data practices for children under the age of 13.
COPPA and FERPA (School-Directed Use)
For school-directed use, Beep acts as a service provider to the educational institution and processes student data only to provide and improve the Services for educational purposes, under the direct control of the educational institution. We do not sell student data, and we do not use student data for targeted advertising.
COPPA - Notice and Parental Rights
We do not knowingly collect personal information from children under the age of 13 except through school-directed educational use under COPPA's school official exception. Children under the age of 13 may not create individual accounts or use the Services outside of a school or educational institution context. We ask all users their age before they can record or access other aspects of the application.
If we learn that we have inadvertently collected a child’s personal information without proper consent, we will take appropriate steps to delete that information as soon as possible.
When Beep is used by children under the age of 13 through a school, the school may provide consent on behalf of parents/guardians under COPPA's school official exception. We collect only the minimum information necessary to provide the Services, such as account identifiers, usage data, and audio recordings created through the Service. We use this information to provide, maintain, and improve the Services, and to ensure security and compliance. We share student data only with subprocessors who help us provide the Services and who are contractually obligated to protect that data.
Parents/guardians may review, delete, or request that we stop collecting a child's personal information. For school-directed use, these requests are typically made through the school or district. If we receive a direct request, we may need to verify the requester's relationship to the student and coordinate with the school before responding.
FERPA - Education Records and School Control
To the extent student data constitutes education records under FERPA, the educational institution retains control of those records. We act as a school official with a legitimate educational interest and use education records only to provide the Services, in accordance with the institution's instructions. Requests to access, correct, or delete education records should be submitted to the school or district. We will assist institutions in responding to FERPA requests consistent with our contractual obligations.
What Constitutes Education Records
For purposes of FERPA compliance, we consider "education records" to include student information that is: (i) directly related to a student; (ii) maintained by the educational institution or a party acting on its behalf; and (iii) created or used in connection with educational activities. This may include student names, school-assigned email addresses and identifiers, audio recordings created through the Services, transcripts generated from those recordings, associated metadata (including page URLs, page titles, timestamps, and browser/device information), teacher names, assignment names, class names, and other data collected in the educational context. We distinguish education records from: (a) de-identified data where all personally identifiable information has been removed such that the data cannot reasonably identify a specific student; and (b) aggregated usage statistics that do not reveal individual student information.
Re-Disclosure Restrictions
We will not re-disclose education records to third parties without prior written consent from the educational institution, except: (i) to our authorized subprocessors who are contractually bound to protect the data and use it only to provide the Services; (ii) as required by law or lawful court order; or (iii) in connection with an emergency if necessary to protect the health or safety of the student or others, as permitted under FERPA.
Data Retention and Deletion (Student Data)
We retain student data for as long as the school or district maintains an active account or as needed to provide the Services, comply with legal obligations, or resolve disputes. For children under 13, we retain personal information only as long as necessary to provide the Services or as required by the educational institution, and no longer than reasonably necessary for educational purposes. For users outside a school context, we retain personal information only as long as needed to provide the Services, meet legal obligations, and resolve disputes.
These student data retention terms supersede any general retention timeframes described elsewhere in this Privacy Policy.
Upon request by a school or district, we will delete or de-identify student data within 45 days of receiving the request, unless retention is required by law. When a school or district with a Data Processing Agreement or institutional subscription ends their relationship with us, we will delete all student data within 45 days, unless the institution requests an extension or retention is legally required.
Data Processing Agreements
Educational institutions may be required to enter into a separate Data Processing Agreement (DPA) or other data processing terms with us that provide additional contractual terms governing our processing of student data, including specific data security requirements, audit rights, data return and deletion procedures, and other FERPA and state law compliance obligations. COPPA Parent Notice (School-Directed Use)
This notice summarizes our practices for the collection, use, and disclosure of personal information from children under 13 in school-directed use.
Categories of information collected include the following:
account identifiers (such as name, email address, and school-issued identifiers where provided);
usage data (such as feature interactions and device/browser information);
language preferences to customize transcription services and user interface;
persistent identifiers (such as IP addresses and device identifiers) for internal operations purposes only, including to maintain and improve the Services and for security and fraud prevention. We do not use persistent identifiers to track students across third-party websites or services for advertising or profiling. We and our service providers may use identifiers (such as account IDs or email) solely to provide, secure, and operate the Services; and
content created through the Services, including audio recordings and related transcripts or metadata.
How we use the collected information
to provide, maintain, and improve the Services;
to support account access and authentication;
to provide accurate transcription services in the user's preferred language and customize the user interface; and
to ensure security, prevent fraud, and comply with legal obligations.
How we disclose the collected information
to service providers who process data on our behalf and are contractually required to protect it; and
as required by law or legal process.
How to revoke consent or request deletion:

Educational Use and School Consent Authority
When students access Beep through an educational institution (including schools, districts, or individual educators), we collect only the minimum personal information necessary to provide our educational services. The following terms govern such educational use:
Parental Consent and Compliance Obligations
The educational institution acknowledges and agrees that:
it bears sole responsibility for obtaining any required parental consent under applicable law, including the Children's Online Privacy Protection Act (COPPA) and similar state, federal, or international privacy laws governing children's data;
it will provide any required direct notice to parents/guardians under COPPA and maintain records of such notices and consents;
for school-directed educational activities, the institution may provide consent on behalf of parents/guardians as permitted by COPPA's school official exception, provided such use is solely for educational purposes within the educational context;
the institution has authority to enter into this agreement and has obtained all necessary permissions, consents, and authorizations required under applicable law before granting student access to Beep;
it will notify parents of Beep's use in accordance with its privacy policies and applicable legal requirements.
We will provide educational institutions with information reasonably necessary to support their COPPA notice and consent obligations.

Changes to this Privacy Policy
We may modify or update this Privacy Policy from time to time. We will provide notice of material changes by email, in-product notices, or posting an updated policy on our website. If you do not agree to the changes, you may stop using the Services and request a refund for any unused prepaid fees, where applicable. Your continued use of any Services constitutes your acceptance of any such changes.
