Compliance How we handle educational records, personal data, and learner accounts across our platform and integrations. FERPA Protecting Educational Records School Official Status: In conjunction with our Google Classroom integration, Immersive Fox acts as a School Official under FERPA. We ensure that Student PII (Personally Identifiable Information) is used strictly for legitimate educational purposes and is never sold or used for profile building. GDPR (General Data Protection Regulation) Likeness Sovereignty & Data Minimization. We process likeness and voice data only with explicit user consent and collect only the minimum data required for video generation. Users may request permanent deletion of AI models and related data at any time, including data used for HubSpot and Google Classroom integrations. LTI: The Gold Standard for Educational Security State-of-the-Art Authentication: We utilize OAuth 2.0 and JSON Web Tokens (JWT) to verify every interaction. This ensures every launch is cryptographically signed to prevent tampering. Privacy-First Provisioning: Through Just-In-Time provisioning, student accounts are created only at the moment of launch, eliminating the need for risky bulk-uploads of student rosters. Where your data is hosted Your data is hosted in the United States on Microsoft Azure (Central US and East US 2), with some services on Google Cloud (us-central1). Avatar recordings, avatar models and copies of rendered videos are currently stored on Amazon Web Services in Germany (Frankfurt) while we move them to Azure. Sub-processors We use a small number of providers to run the platform, including Microsoft Azure, Google Cloud, Amazon Web Services, OpenAI, ElevenLabs, Resemble AI, Adobe, Sentry, GrowthBook, Segment, Heap, Hotjar, SendGrid, Stripe and HubSpot. They are bound by data protection obligations, and the current list is in clause 8.3 of our Terms of Use. AI and your data Some features use AI model providers, including Azure OpenAI, OpenAI, ElevenLabs, Resemble AI and Google Vertex AI. We do not use your content, including uploaded materials, scripts, videos, or likeness data to train or improve any AI model, ours or any third party's, without your prior written consent. Deletion You can ask us to delete your likeness data and associated AI models at any time, and we will delete all copies within 30 days. After your agreement ends, we may delete your customer data 30 days after termination, so ask us for a copy before then if you need one.
