FieldBuddy B.V. ("FieldBuddy") offers a field service solution through its website
(www.fieldbuddy.com) and its applications FieldBuddy Pro and FieldBuddy GO. In the context of our
services, we process personal data. This privacy and cookie statement explains which personal data
we process about you and what we do with it.

Our privacy and cookie statement in brief
Your privacy matters to us. That is why we comply with the General Data Protection Regulation
("GDPR").

This means that we:
    • Clearly define our purposes before processing your personal data, through this privacy and
       cookie statement.
    • Store as little personal data as possible, and only the data necessary for our purposes.
    • Ask for your explicit consent to process your personal data where consent is required.
    • Take appropriate security measures to protect your personal data. We impose these
       obligations on the parties that process personal data on our behalf.
    • Respect your rights, such as the right of access, rectification or erasure of your personal
       data that we process.

Our role: controller and processor
FieldBuddy has two roles when it comes to personal data. For the processing activities described in
this statement — such as recording contact moments, managing customer relationships or
processing job applications — we act as controller. For the processing activities that take place
within FieldBuddy Pro and FieldBuddy GO, we act as processor on behalf of our customers. Are you
a user of our applications via your employer or client? Then that organisation is the controller for
the data you enter into the application. For questions about that data, you can contact them. You
can read more about this division of roles in our general terms and conditions and the
accompanying module on the processing of personal data.

Information about organisations
This statement concerns personal data: information that can be traced back to an individual.
Information about organisations — such as company name, place of establishment, industry,
company size and the services an organisation obtains from us — does not constitute personal
data. The retention periods in this statement therefore do not apply to such information. However,
in the case of a sole trader or self-employed professional, the company name may coincide with an
individual; in that case we do treat such data as personal data.

For what purposes do we use your personal data?
We obtain various personal data about you. For each purpose we indicate which data we obtain, on
what legal basis we process this data and how long we retain it. If you have any questions or would
like to know exactly what we hold about you, please contact us. Our contact details are listed at the
end of this statement.

Contact and complaint handling
When you send us an email, complete the contact form on our website, contact us by telephone or
reach out to us in any other way, you accept our offer to enter into contact with us (performance of
the agreement).

For this purpose we process the following personal data:
    • First and last name
    • Business information, such as company name
    • Contact details (email address and telephone number)
    • Any information you provide as the content of a message

We store these contact moments together with the personal data you provide in order to conduct
the contact and, where applicable, handle your complaint. We retain this information for as long as
necessary for this contact, or up to a maximum of 2 years after our last contact with you, because
we want to be sure that we have handled your question or complaint properly.

Commercial email
If you have given consent when completing the contact form, we will send you commercial
information about FieldBuddy by email, such as product news, invitations to events and customer
stories (consent). This is a separate and optional choice: you can complete the contact form without
giving this consent.

For this purpose we process your name, business email address and company name, and we track
whether and how you open our messages. We retain this data until you withdraw your consent. You
can withdraw your consent at any time via the unsubscribe link at the bottom of each email or by
sending us a message.

Newsletters to customers
If you are a contact person at an organisation that is a customer of ours and you have given
consent for this, we will send you newsletters about our services, releases and changes that are
relevant to your organisation (consent). You can unsubscribe at any time via the unsubscribe link at
the bottom of each email or by sending us a message.

For this purpose we process your name, job title, business email address and the organisation you
work for. We retain this data until you withdraw your consent.

Demo requests and sales
On our website you can request a demo or a quote for FieldBuddy Pro or FieldBuddy GO. When you
do, we process your data in order to handle your request and schedule a conversation
(performance of the agreement or legitimate interest).

For this purpose we process the following personal data:
    • First and last name
    • Job title
    • Company name and business details
    • Contact details (business email address and telephone number)
    • Number of intended users or other indication of scale
    • Any information you provide as the content of a message

We retain this data throughout the sales process and up to a maximum of 3 years after our last
contact with you. This period reflects the typical duration of an orientation and decision-making
process for field service management software, which often spans several years via budget cycles
and tender procedures. After that, we delete or anonymise it. If you become a customer, the
retention periods for customer and contact person administration below will apply.

Customer and contact person administration
When your organisation is a customer of ours, we process data of the contact persons who
communicate with us on behalf of your organisation. This may involve account management,
support, invoicing or contract management (performance of the agreement).
For this purpose we process the following personal data:
    • First and last name
    • Job title
    • Company name and business details
    • Contact details (business email address and telephone number)
    • Communication history
    • Other information relevant to the agreement

 We retain this data for the duration of the agreement with your organisation and up to a maximum
 of 7 years thereafter. This period is based on the statutory retention obligation that applies to our
 administration and on the limitation periods within which parties may still assert claims arising
 from the agreement; correspondence and communication history may serve as evidence in that
 context. After that, we delete or anonymise it.

Application: FieldBuddy Pro and FieldBuddy GO
We offer our mobile applications FieldBuddy Pro and FieldBuddy GO through the App Store and
Google Play. In order to connect the application to the correct environment of your organisation,
and to analyse errors and misuse of that connection, we process a number of data items (legitimate
interest).

For FieldBuddy GO we process the following data:
    • Registration number
    • Device name
    • Device ID
    • Device model
    • IP address

For FieldBuddy Pro we process the following data:
    •   Username in the application
    •   Business email address
    •   Organisation ID of your employer or client
    •   Technical information about the environment and app version through which you connect

We use this data solely to establish and secure the connection with the correct environment. We
retain this registration data for as long as the application or your account is connected, and up to a
maximum of 12 months after disconnection.

Everything you subsequently do within the application — such as work orders, customer data and
planning — is processed by us on behalf of your employer or client. That organisation is the
controller for this data; for questions about that data, you can contact them.

Surveys, reviews and customer research
We sometimes ask customers and users to take part in a survey, a user study or to leave a review,
in order to improve our services. For the internal processing of your answers, we rely on our
legitimate interest in quality improvement. If we publish a review or quote in which you are
recognisable, we do so only with your consent. Participation in research is always voluntary. For this
purpose we process your name, contact details and the answers you provide, and we retain this
data for up to a maximum of 2 years after completion of the research.

Visual material and customer cases
At events, customer visits and the production of customer stories, we sometimes create photo or
video material in which individuals are recognisable. We use this material for our website, social
media channels and presentations. We do this on the basis of your consent, which you can
withdraw at any time. We retain the material for as long as we use it and delete it when you
withdraw your consent.

Visits to our office
When you visit our office, we record your name, the organisation you are visiting for and the time of
your visit, in order to know who is present and with a view to safety within the premises (legitimate
interest). We retain this record for up to a maximum of 3 months after your visit.

Job applications
When you apply for a job with us, we process the data you send us in order to handle your
application (taking steps at your request prior to entering into an employment contract, and — for
retaining data after rejection — our legitimate interest).

For this purpose we process the following personal data:
    • First and last name
    • Address details (street, house number and postcode)
    • Contact details (email address and telephone number)
    • Curriculum Vitae
    • Cover letter
    • Passport photo
    • Salary indication
    • References
    • Any other information you send with your application

We retain your application data for up to a maximum of 6 weeks after the position has been filled.
We retain this data so that we can contact you in the event that the position becomes available
again during the probationary period.

If we cannot offer you a position at this time, we may — with your consent — retain the application
data for an additional year. You can withdraw your consent at any time by sending us an email. If
you come to work with us, we will retain your application data in the personnel file. This file is
retained for as long as necessary and, with regard to the application data, for up to a maximum of 2
years after you start employment.

A social media and internet search may form part of the application procedure. This is necessary to
safeguard our reputation when recruiting new personnel. We do this on the basis of our legitimate
interest. For this purpose we search your name via Google and any profiles you may have on
various social media platforms — only insofar as these profiles are public; we will not ask you to
grant us access to a restricted social media page or to connect with us. The results of the search
will be discussed with you. If you object, you can indicate this at the time of your application.

How long do we retain data?
We do not retain your personal data any longer than necessary for the purposes for which we
process it. For each purpose we have indicated above the retention periods we apply. After the
retention period expires, we delete or anonymise your data.

When can we share your personal data with third parties?
We share your data with third parties only where this is permitted under current legislation. It may
occur that we provide your personal data to third parties because:
   • we have engaged them to process certain data;
   • we have a legal basis for doing so;
   • we are legally obliged to do so (for example if the police require it in connection with a
        suspected criminal offence).

International transfers of personal data
Some of our providers are located outside the European Economic Area ("EEA"). When sharing your
personal data with these parties, we take appropriate safeguards to protect your privacy.

The European Commission has adopted adequacy decisions for a number of countries. On that
basis, personal data can be transferred from the EEA to companies in those countries without
additional safeguards for data protection being required.
If we share data with companies in other countries without an adequacy decision (or with US
companies that are not covered by the EU-US Data Privacy Framework), we take additional
protective measures in the form of so-called appropriate safeguards. To this end we use, among
other things, standard contractual clauses ("SCCs").

Where we transfer your personal data to parties outside the EEA on the basis of SCCs, you have the
following rights:
     • To request information about the transfer, including a copy of the SCCs.
     • To contact both us and the receiving party for information.
     • To lodge complaints with the receiving party, the Dutch Data Protection Authority, a
        competent court in the EEA or an independent dispute resolution body.
     • To claim damages in the event of a breach of the SCCs.

These rights exist in addition to your general privacy rights under the GDPR.

Social media buttons
Our website uses social media buttons that redirect you to the relevant social media platforms. This
allows you to follow us and share content within the network. The buttons operate through pieces
of code originating from the social media networks. If you would like to know what these platforms

LinkedIn.

Cookies
Our website uses cookies from ourselves and from third parties. Cookies are small information files
that can be automatically stored on or read from a visitor's device (such as a PC, tablet or
smartphone) when they visit a website. This happens through the web browser on the device.
We use the following types of cookies.

Functional cookies
These cookies ensure that the website functions properly and that we can offer our services in a
secure and reliable manner. They are used, for example, to:
       Remember your language preferences
       Remember whether you have given consent for cookies
       Display the website optimally on your screen
       Schedule a demo or appointment (via Calendly)
       Secure the connection and protect against misuse (via Cloudflare)

We do not need your consent for these cookies.

Analytical cookies

We use Google Analytics and Wistia for this purpose. This information helps us to improve the

These cookies make it possible, among other things, to show you personalised advertisements via
our advertising partners (including Google, LinkedIn and Microsoft) and to measure conversions
from our campaigns. In addition, we use marketing and sales automation cookies to recognise your
interaction with our website and emails.

These cookies may collect the following information about you, among other things:
   • IP address
   • Cookie ID
   • Website and click behaviour
   • Referrer URL
   • Interaction with our emails

We need your consent for these cookies. When you visit our website for the first time, we show a
cookie notice. In it we ask for your consent to place the marketing cookies (and, in some cases,
certain analytical cookies). You can still use our website if you do not give consent for these

Deleting cookies

How is your personal data secured?
The security of personal data matters greatly to us. We therefore take appropriate technical and
organisational measures in relation to the processing activities we carry out, against loss or any
form of unlawful processing (such as unauthorised access, alteration, modification or disclosure of
the personal data). We continually adapt our security and pay close attention to what could go
wrong.

Among other things, we take the following security measures:
   • logical access control on our laptops and systems, using passwords and multi-factor
      authentication;
   • physical measures for access control within our office premises;
   • encryption of digital files and connections;
   • organisational measures for access control;
   • securing network connections via Transport Layer Security (TLS);
   • purpose-bound access restrictions;
   • security in accordance with the principles of the ISO 27001 standard.

What privacy rights do you have?
    •   Right of access: you have the right to inspect the personal data we process about you.
    •   Right of rectification: you have the right to have the personal data we process about you
        corrected or supplemented if it is inaccurate or incomplete.
    •   Right to object: you can object to the processing of your personal data, including direct
        marketing.
    •   Right to erasure: you can request that we delete your personal data. Please note: for data
        that we are required to retain on the basis of a statutory obligation, such as our
        administration, we cannot fully comply with such a request.
    •   Right to withdraw consent: if you have given us consent to process personal data, you can
        withdraw that consent at any time.
    •   Right to data portability: where technically possible, you have the right to have the
        personal data we process about you transferred to a third party.
    •   Right to restriction of processing: in certain cases, you can request that we restrict the
        processing of your personal data (temporarily or otherwise).

When you make a request, we may ask you to identify yourself. We do this to be sure that you are
the correct person to whom the personal data belongs.

We will in principle comply with your request within 30 days. This period may be extended for
reasons relating to the specific privacy rights or the complexity of the request. If we extend this
period, we will notify you in good time.

Scope of application and changes
This privacy and cookie statement applies exclusively to the services of FieldBuddy and not to other
websites that may be accessible via our website. When our services change, we will also update
this statement. Please always check the date at the top of this document and check regularly
whether there are new versions.

Questions or complaints
If you have any questions, or would like to lodge a complaint about the use of your personal data,
please send an email to privacy@fieldbuddy.com. We handle every question and complaint
internally and will communicate further with you about it. If you feel that we are not helping you in
the right way, you have the right to lodge a complaint with the supervisory authority, the Dutch
Data Protection Authority (Autoriteit Persoonsgegevens).
