Kvitanco Language 1. Application These Terms apply to use of Kvitanco, provided by Bonakodo Limited (“we”, “us”, or “Bonakodo”). Users may use the service only after agreeing to these Terms and the Privacy Policy. 2. Eligible users Kvitanco is for business operators, their officers and employees, and authorised professionals who are at least 18 years old. It is not intended for personal or household use or for anyone under 18. A person using it for a company or other organisation must have authority to bind that organisation to these Terms. 3. Accounts Users must keep registration data accurate and are responsible for authentication methods, devices, and share links. If you suspect misuse, revoke the affected authentication method or share link at once and contact us. We may restrict access as needed for security, legal compliance, or misuse prevention. 4. Uploaded documents Users may upload receipts, invoices, and other documents for a valid business purpose. The user confirms that they have the right to obtain each document, have Kvitanco and its providers process it, and share it with the recipient they select when needed. Do not upload an Individual Number (My Number), an image of a My Number Card, passwords, authentication secrets, unlawful information, information that infringes another person’s rights, or sensitive data that is not needed for the business purpose. Automated checks cannot find every prohibited item. The user must check before sending a document. 5. AI recognition results AI-generated text, categories, amounts, tax data, proposed journal entries, and other results may be wrong. Users must compare results with the source and decide the tax, accounting, and legal treatment themselves. Kvitanco is not a substitute for advice from a tax adviser, accountant, or lawyer. 6. Share links and integrations Share links included in PTA exports allow anyone who knows the link to view the corresponding receipt without signing in. The links do not expire. Users must check the recipient, receipt, and purpose of each share and revoke links that are no longer needed. Revoking a link does not delete copies saved by recipients. Before sending information to Money Forward Cloud Accounting, freee Accounting, or another external service, the user must check the data and recipient and follow that service’s terms. Data sent before disconnection is not automatically deleted from the external service. 7. Prepaid balance and fees AI document processing fees are deducted from the prepaid balance. A balance purchase is not a subscription and does not create recurring charges. Users must keep enough balance for processing. We may pause or refuse processing when the balance is insufficient. Fees are calculated from actual AI input, cached input, output and thinking tokens, and processing jobs. We may deduct actual AI use when processing ends without a usable result. After reviewing the facts, we may credit fees caused by a fault of Bonakodo or a provider back to the balance. Current rates, minimum and maximum top-up amounts, payment methods, refund terms, and other sales terms appear in the Legal Notice under the Act on Specified Commercial Transactions. We provide a refund when required by law. 8. Prohibited conduct Users must not do any of the following: Use that breaches law, a court order, or another person’s rights Unauthorised access to another person’s account, documents, or systems Interfering with the service, placing an excessive load on it, bypassing limits, or testing security controls Unauthorised analysis, copying, or resale of protected software or systems Use for malware, fraud, impersonation, or unauthorised surveillance 9. Service changes and suspension We may change or temporarily suspend features for maintenance, security, legal compliance, provider changes, or other operational reasons. We give reasonable advance notice of a planned change that materially affects users. An urgent security change may receive notice afterwards. 10. Suspension and termination Users may stop using the service at any time. We may suspend or terminate an account for a material breach, misuse, a security risk, fraudulent acquisition of credit, or a legal requirement. Where the matter is not urgent, we will try to provide a chance to correct it. Deletion after termination and retention of legally required records are governed by the Privacy Policy. We handle unused balances under the Legal Notice under the Act on Specified Commercial Transactions and applicable law. When a user deletes a document, it remains restorable for 30 days. After that deadline, permanent deletion starts and the document cannot be restored. Deletion removes the document from existing share links, and restoring it does not share it again automatically. 11. Warranties and responsibility We provide the service with reasonable care, but do not guarantee that every recognition result will be complete or accurate, that the service will always be uninterrupted, or that it will meet a user’s specific tax or accounting purpose. Each party will take reasonable steps to reduce loss. These Terms do not exclude or limit liability for wilful misconduct or gross negligence, death or personal injury, fraud, or any liability that law does not permit us to limit. If a mandatory legal right conflicts with these Terms, that law prevails. 12. Changes to these Terms We may change these Terms to reflect changes in law, features, fees, or security needs. We give advance notice in the service or by registered email of a change that materially affects user rights or duties. Fee changes apply only to processing after they take effect. 13.
