This Privacy Notice applies to Norwood Systems (Aust) Pty Ltd (ACN 149 094 039) and its affiliates, including our websites, OpenSpan and related AI media services, CogVoice applications and the World family of consumer and small-business apps that link to this notice.
Norwood is headquartered in Western Australia and listed on the Australian Securities Exchange as ASX: NOR. We are an APP entity under the Australian Privacy Act 1988 (Cth). For most processing involving people in the EEA, UK or Switzerland, Norwood acts as a controller. When we process end-user information on the instructions of a communications service provider or enterprise customer, that customer’s privacy notice and contract may also apply.
Information you provide
Contact, account, business, billing, configuration, support and feedback information you give us.
Communications content
Call audio, voicemail, prompts, transcripts, summaries, translations, classifications and caller input where a service processes them.
Network and usage data
Call metadata, routing and quality information, device and connection data, service usage logs and security indicators.
Website data
IP address, browser information, pages visited, timestamps, referring pages and cookie or similar technology data.
Third-party information
Information provided by customers, carriers, identity and anti-fraud providers or public business sources where relevant to the service.
We use personal information to establish and manage accounts; route and deliver communications; provide voice, transcription, summarisation, translation, call handling and related features; operate AI agents; give customers service visibility; detect fraud or abuse; provide support; improve reliability; meet legal obligations; enforce our rights; and communicate with you.
We may send marketing communications where permitted by law. You can opt out at any time. We may also use information for another purpose explained when it is collected and for which you give consent.
AI features may transcribe and analyse audio, understand intent, generate responses and summaries, classify calls, route communications, support configured workflows and identify patterns associated with fraud or scams.
Norwood does not use your call content or voicemails to train third-party foundation models for those third parties’ own purposes. Platform improvement primarily uses aggregated, de-identified or synthetic data and high-level metadata. Where authorised staff need to review real service material for improvement, access is limited and information is minimised or redacted where reasonably possible.
Some services may make automated decisions, such as routing a call or presenting a risk warning. Customers can configure relevant service rules and review outcomes. Rights to information, human review or challenge may apply in some jurisdictions.
Where GDPR or UK GDPR applies, Norwood generally relies on contract, legitimate interests, consent or legal obligation, depending on the purpose. We balance legitimate interests against your rights and do not rely on that basis where the impact is disproportionate.
We may share information with the customer controlling the relevant account, cloud and AI infrastructure providers, telecom carriers, payment and billing providers, security and analytics providers, professional advisers, parties to a corporate transaction, or authorities where law and safety require it. We do not sell personal information for money.
Information may be processed in Australia and other countries where customers or service providers operate. Norwood uses contractual, organisational and technical safeguards for international transfers, including relevant contractual clauses where required.
Retention
Retention varies by service, customer contract, legal requirement and the purpose for which information was collected. Information is deleted or de-identified when it is no longer required.
Security
Norwood uses technical and organisational safeguards designed to protect information, including access controls, monitoring and incident response.
Your rights
Depending on where you live, you may request access, correction, deletion, restriction, portability, objection, marketing opt-out or review of certain automated decisions.
Children
Norwood services are not directed to children unless a service and customer arrangement expressly provides otherwise with the required safeguards.
