(doing business as pronix.ai, "we", "us" or "our") collects, uses, discloses and safeguards personal information in connection with the pronix.ai website, our marketing activities, and our enterprise services. This notice is maintained by Pronix Inc. and describes our current practices; it is not a certification and does not create contractual rights. Content on the Site — including solution pages, industry pages, case studies, use-case libraries, glossary entries, videos and blog posts — is published for general marketing and informational purposes only, is not professional advice, and Pronix Inc. has no obligation or liability for any decision made in reliance on it. See our Terms of Use for the full disclaimer. 1. Who this notice applies to This notice applies to visitors to pronix.ai, prospective and current enterprise clients and partners, event attendees, and individuals who contact us through our forms or email addresses. When we act as a service provider to a client (for example, delivering AI or contact-center services on the client's platforms), we process personal information as directed by that client under a written Master Services Agreement or Data Processing Addendum; that client's privacy notice governs their end users' personal information. 2. Information we collect We collect the following categories of personal information: Contact information you submit through our forms — name, business email, company, role, country, phone (optional), and message. Communications — emails, calls, meeting notes and materials you share with us during a sales or engagement conversation. Marketing preferences — the topics you asked us to contact you about, event registrations and content downloads. Website usage — pages viewed, referrer, approximate location (from IP), browser and device details, and, where consent is required, cookies or similar technologies. Recruiting information — where you apply for a role, the information in your application and any references you provide. We do not intentionally collect sensitive personal information through our website. Please do not include payment card data, government-issued IDs, or health information in a contact form. 3. How we use your information Respond to your inquiry, schedule meetings and prepare proposals. Provide the services requested by our clients under our agreements. Send you information about our services, events, research and playbooks, where permitted by law. Operate, secure and improve our website. Comply with legal, regulatory and contractual obligations. 4. Legal bases (EEA / UK / similar regimes) Where an applicable privacy regime applies, we process personal information under the following legal bases: Your consent, which you can withdraw at any time. Our legitimate interests in operating and marketing our enterprise services, balanced against your rights. The performance of a contract with you or your organization. Compliance with a legal obligation. 5. How we share information We share personal information only as needed to run our business, including with: Subprocessors and vendors that host our website, run our CRM and marketing automation, deliver email, provide analytics, or otherwise support our operations under written contracts and appropriate security controls. The AI providers used by our website chat assistant are named in section 7a. Clients and partners, where you contact us on their behalf or where they are the party engaging us. Professional advisors (legal, audit, insurance). Authorities, where required by law or to protect our rights. We do not sell personal information, and we do not share personal information for cross-context behavioral advertising. 6. International transfers We operate globally. Where personal information is transferred outside your jurisdiction (for example, from the EEA / UK to the United States or India), we rely on lawful transfer mechanisms such as Standard Contractual Clauses and equivalent safeguards, and we require our subprocessors to do the same. 7. Data retention We retain personal information only for as long as reasonably necessary for the purposes described in this notice, to meet contractual and legal obligations, and to resolve disputes. Our standard schedules are: Contact, enquiry and event-registration submissions — up to 36 months for sales follow-up, unless you ask us to delete them earlier. Job applications, résumés / CVs and interview records — up to 24 months from your last application, so we can consider you for future openings and meet equal-opportunity record-keeping obligations. You can ask us to delete your application at any time by emailing info@pronix.ai. Marketing subscriptions — until you unsubscribe, plus a suppression record kept indefinitely so we do not email you again. Website analytics — up to 24 months. Chat transcripts — conversations that do not lead to an enquiry are deleted automatically 90 days after the last message; conversations linked to an enquiry are deleted automatically after 24 months. Email addresses, phone numbers, payment-card and government ID numbers are masked before a transcript is saved. Withdrawn chat consent records are deleted 30 days after withdrawal. You can erase your chat at any time from the chat window. 7a. AI assistants and automated tools Our website offers an AI-powered chat assistant and interactive tools (calculators, readiness scores and assessment questionnaires). The chat assistant currently generates answers using OpenAI large-language models (GPT series), delivered to us through a secure, enterprise AI gateway operated on our behalf; website content search uses embedding services from Google. These services act as our processors under written contracts, on a zero-retention basis where the provider offers it. We do not permit your inputs to be used to train public or foundation AI models, and we do not sell them. Conversations may be stored by us and reviewed by our team to answer your enquiry, improve responses and prevent abuse; they are retained per the schedule above. Automated outputs are illustrative estimates only, and no decision with a legal or similarly significant effect on you is made solely by automated means. Please do not enter confidential, regulated, payment-card, health or other sensitive personal data into the chat or any tool. 8. Security We maintain administrative, technical and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration and destruction, including access control, encryption in transit, secure development practices and vendor due diligence. No system is perfectly secure; we work to close gaps quickly when they are identified. 9. Your rights Depending on your jurisdiction, you may have the right to access, correct, delete, restrict or object to certain processing of your personal information, the right to portability, and the right to withdraw consent. To exercise any of these rights, email info@pronix.ai. We will respond within the timeframes required by applicable law and may need to verify your identity before acting on a request. EEA / UK residents may also lodge a complaint with a data protection authority. 9a. California residents (CCPA / CPRA) This section is our notice at collection for California residents. The categories of personal information we collect are those listed in section 2 — identifiers (name, business email, phone), professional and employment information (company, role, résumé content), commercial information (services you enquired about, content you downloaded), internet activity (pages viewed, referrer, device and approximate location from IP) and the contents of communications you send us. We collect them for the business purposes in section 3, from you directly and from your device when you browse, and we retain them for the periods in section 7. We do not collect sensitive personal information through the website for the purpose of inferring characteristics. We do not sell personal information and we do not share it for cross-context behavioral advertising, and we have not done so in the preceding 12 months. We also do not knowingly sell or share the personal information of consumers under 16. California residents may request access, deletion, correction and information about our disclosures, may designate an authorized agent, and will not be discriminated against for exercising these rights. To exercise any right — including limiting optional advertising cookies — email info@pronix.ai or use the cookie preferences link in our Cookie Policy. 9b. India (Digital Personal Data Protection Act, 2023) Pronix operates a delivery centre in Hyderabad, India and recruits for roles based in India. Where the DPDP Act applies, Pronix Inc. acts as a Data Fiduciary for the personal data of Data Principals in India whose data we collect through this website, our recruitment process and our own business operations; where we process personal data on behalf of an enterprise client, we act as a Data Processor under that client's instructions and agreement. Purpose and consent. We process your personal data for the specific purposes described in section 3 — responding to your enquiry, evaluating your job application, and sending you material you asked for — on the basis of your consent or a legitimate use permitted by the Act. Your rights as a Data Principal. You may request access to a summary of your personal data and our processing, correction, completion, updating or erasure of your data, nominate another person to exercise your rights in the event of death or incapacity, and withdraw your consent at any time (withdrawal does not affect processing already carried out lawfully). How to exercise them, and grievance redressal. Email info@pronix.ai, marked "DPDP request" — this is also our grievance redressal channel and our contact point for data-protection questions. We respond within the timeframes required by the Act. If you are not satisfied with our response, you may complain to the Data Protection Board of India. Children. We do not knowingly process the personal data of anyone under 18 in India, and we do not carry out tracking, behavioural monitoring or targeted advertising directed at children. Transfers and security. Personal data may be processed in the United States and other countries where we or our processors operate, under contractual safeguards, and is protected by the measures described in section 8. 10. Cookies We use a small number of cookies and similar technologies to run the website and understand usage. See our Cookie Policy for details, categories and how to manage preferences. 11. Children Our website and services are not directed to children under 16, and we do not knowingly collect their personal information. 12. Changes to this notice We may update this notice from time to time. If we make material changes, we will update the "Effective" date above and, where appropriate, provide additional notice. 13. Third-party trademarks Third-party product, platform and company names, logos and marks referenced on this site (for example, AWS, Salesforce, Microsoft, NICE, Genesys, Kore.ai, Google, ServiceNow, Amazon Connect and others) are the property of their respective owners and are used for descriptive purposes only.
