APPENDIX A - ADDITIONAL INFORMATION
To ensure fair and transparent processing of your personal information, you have the following rights (which may be subject to certain exceptions and limits under applicable law). Any information we provide to you in response to an exercise of these rights will be supplied in an easily accessible electronic form:
1. This section applies when a user in your account connects a supported external AI assistant to Hiver using the Model Context Protocol (“MCP”). It applies to Hiver in Gmail and to Hiver Omni. The connectors are disabled by default, and no processing described in this section occurs unless a user has completed the authorisation described in Section 2 of this Appendix A. The AI assistants currently supported, and the entities that operate them, are listed at hiverhq.com/third-party-subprocessors.
2. To connect an AI assistant, a user completes an authorization in which they sign in with their existing Hiver credentials and are shown a consent screen listing the categories of access being granted, and whether each permits reading or changing data. We then issue the assistant a credential scoped to that individual user’s own permissions. An assistant can access only the shared mailboxes that users can already access: administrators can reach every shared mailbox in their account, and other users only the mailboxes they are a member of. Any content an assistant creates is attributed to that user, and their permissions are re-verified at the time of writing.
3. Information disclosed to the AI provider. When a user asks an assistant a question, the assistant requests information from Hiver and our response is disclosed to the provider operating that assistant, which is a third party outside our systems. Depending on the request, that response may include:
Account and user information. The user’s identifier, email address and role, and the identifiers of shared mailboxes they can access.
Mailbox configuration. Shared mailbox names and addresses, tag names, and the names of service-level policies.
Information about colleagues. The names, email addresses and identifiers of other users who are members of a shared mailbox.
Conversation information. Subject lines, the email address of the person who contacted you, status, assignee, tags, timestamps and links to the conversation.
Message content. The full content of email messages within a conversation, including quoted earlier correspondence and references to attachments.
Reporting information. Conversation volumes, response and resolution times, service-level breaches (which include the subject line and contact address of the conversation concerned), customer satisfaction scores and any free-text feedback, workload by customer organisation, and sentiment counts
4. We do not determine which of the above is disclosed; that is determined by the requests a user makes of their assistant. You should therefore assume that any correspondence held in a shared mailbox a user can access, including its full text, may be disclosed to the AI provider if that user asks a question which requires it to be read. We do not control how an AI provider subsequently uses, stores, discloses or retains information disclosed to it. That is governed by the agreement between you and that provider, and we recommend reviewing their terms before connecting an assistant, particularly where your mailboxes contain sensitive or regulated information.
5. Changes an assistant can make. A connected assistant may create internal notes on a conversation and optionally notify colleagues; save shared reply drafts for a person to review; and change a conversation’s tags, assignee or status. Assistants cannot send email. They also cannot delete conversations, alter account or billing settings, manage users, or access anything outside the shared mailboxes covered by the authorising user’s own permissions.
6. Information we record. Separately from the conversation data itself, we record: an activity log containing one entry for each request, comprising a request identifier, the user and account identifier, the product, the assistant used, the capability invoked, the outcome and the time taken — the parameters supplied with a request are stored only as a one-way cryptographic hash and never as readable text, because they may contain message content or email addresses; authorisation records, including the user’s consent and the credentials issued to the assistant; and short-lived caches of a user’s permissions and of recent report results, held for approximately five minutes.
7. Capability-gap reports. Where an assistant determines that no available Hiver capability can address a user’s request, it may record that gap so we can prioritise developing the missing capability. Such a record contains a short description of what the user was seeking to accomplish, as phrased by the assistant, together with the user and account identifier. It is held separately from the activity log described in Section 6 of this Appendix A, with its own access controls, and is used only for product development. It is not used to train any artificial intelligence model. Assistants are instructed to describe the objective rather than reproduce mailbox contents, but we cannot guarantee that such a record contains no personal information.
8. Third parties. Information is disclosed from Hiver only to the AI provider whose assistant a user has connected, and only in response to that user’s requests; different users within the same account may connect different assistants. The AI providers currently supported are named at hiverhq.com/third-party-subprocessors, which is updated as providers are added or removed and is the current record for this Section 8 of this Appendix A. For Hiver in Gmail, searching conversations queries the Google Gmail API on the user’s behalf, as elsewhere in the Services. The connectors introduce no additional hosting or infrastructure provider beyond those already identified in this Policy.
9. Retention. A credential issued to an assistant expires one hour after issue. The credential used to maintain a connection expires after thirty days and is replaced each time it is used. Permission and report caches are held for approximately five minutes. The activity log described in Section 6 of this Appendix A is retained for 90 days and the capability-gap reports described in Section 7 of this Appendix A for 90 days. Notes, drafts and tags created by an assistant are retained on the same basis as any other content in the Services, as described in Section 4 of the Privacy Policy. Information already disclosed to an AI provider is retained in accordance with that provider’s policy; withdrawing a connection prevents further disclosure but does not delete information previously disclosed.
10. Your choices. Connecting an assistant is always initiated by a user and requires that user’s consent, which lists the access being granted before it is given. A user may disconnect an assistant at any time, from within the assistant or by withdrawing the authorisation, which invalidates its credentials. Administrators can review which connections exist for their account. Administrators can disable connectors account-wide, from the MCP client itself. Reporting capabilities are available only to administrators, so other users cannot obtain account-wide analytics through an assistant. Questions about this Section 10 of this Appendix A may be directed to security@hiverhq.com, and the rights described in Section 7 of this Privacy Policy apply to information processed under this Section 10 of this Appendix A.
APPENDIX B – HIVER APP FOR MICROSOFT TEAMS
1. Scope. This Appendix B applies to the Hiver app for Microsoft Teams (the “Teams app”), listed as “HiverHQ” in the Microsoft Teams Store. The Teams app links one channel in an organization’s Microsoft Teams to the support team of a business that uses Hiver (a “Hiver Customer”). The Hiver Customer’s support team reads and replies to messages from the channel in its Hiver account and in the third-party messaging or collaboration platforms it chooses to connect to the Teams app, such as Slack (“Connected Platforms”). As of the Last Updated date of this Privacy Policy, the only Connected Platform is Slack. We will update this Appendix B before a new Connected Platform becomes available. This Appendix B applies to the organizations that add the Teams app to Microsoft Teams and to the people who post in a channel where it is added. Where this Appendix B differs from the rest of this Privacy Policy for the Teams app, this Appendix B applies.
2. How a channel is connected. When someone adds the Teams app to a team, Microsoft Teams asks for consent to the app’s permission to read that team’s channel messages (see Section 3 of this Appendix B). A channel is connected only when someone in the organization then enters a one-time code from the Hiver Customer. When the app is added, it posts a message in the channel saying that, once the channel is connected, messages posted there go to the Hiver Customer’s support team and are stored by Hiver, and that the support team’s replies appear in the channel. The message links to this Privacy Policy. When the channel is connected, the app posts a second message naming the Hiver Customer. For support conversations, the Hiver Customer decides how the information is used and we process it on the Hiver Customer’s behalf. We decide how to use the information we need to run and secure the connection itself, such as connection records and security logs.
3. Information we collect. For a connected channel, we collect:
The Microsoft 365 organization (tenant) ID, and the team and channel IDs and names.
The name and Microsoft Entra ID of the person who added the app and of the person who entered the code.
For each message: the sender’s display name, work email and Microsoft Entra ID; the message text, edits and deletions; and images pasted into the message.
Ratings on a satisfaction card, and reactions to support replies.
A technical record of each event Teams sends to the app, and service logs. Once an event is processed, its record is cut to technical IDs and its text, names and images are removed. We design our logs to hold identifiers, not message text.
Permissions. The Teams app asks for one permission to read data in Microsoft Teams: “Read this team’s channel messages” (ChannelMessage.Read.Group). Microsoft lists it as a Microsoft Graph resource-specific consent permission, and it applies only to the team the app is added to. It lets Teams send the app messages from all standard channels of that team, not only the connected channel. We do not pass messages from other channels on, and once processed we keep only their technical IDs. We use this permission only so that Teams delivers channel messages to the app through the Microsoft Bot Framework. The Teams app does not call Microsoft Graph, so it does not use this or any other permission to read message history, files or other data from your organization. Teams sends nothing from a private or shared channel unless the app is added to that channel. If a shared channel is connected, posts from members of other organizations are sent to the Hiver Customer too. The Teams app does not read OneDrive or SharePoint files, email, calendars or chats, and has no sign-in. Please don’t post sign-in details, payment card numbers, health information or other sensitive personal information in a connected channel.
4. How we use it. Only to deliver messages between the channel and the Hiver Customer’s support team, in Hiver and in its Connected Platforms, and keep edits, deletions and reactions in step; to let the support team manage, search and report on these conversations in Hiver, as it does for its other support channels; and to secure, run and fix the service. Hiver AI features are not applied to conversations from the Teams app today, and Hiver Customers cannot turn them on for these conversations. We will update this Appendix B before that changes. Connected Platforms may offer their own features, including AI features, which apply under the Hiver Customer’s own agreement with that platform. We do not sell this information or use it for advertising.
5. Who we share it with. We share information from the Teams app with:
The Hiver Customer, in its Hiver account and in its Connected Platforms.
Each Connected Platform the Hiver Customer connects, such as Slack. The platform hosts the Hiver Customer’s workspace under the Hiver Customer’s own agreement with that platform, not under an agreement with Hiver. Each Connected Platform the Hiver Customer connects. As of the Last Updated date of this Privacy Policy, this is Slack. The platform hosts the Hiver Customer’s workspace under the Hiver Customer’s own agreement with that platform, not under an agreement with Hiver.
Microsoft, which carries all traffic between Teams and Hiver through the Microsoft Bot Framework (see Section 6 of this Appendix B).
Our Service Providers listed at hiverhq.com/third-party-subprocessors.
Support replies, images and reactions that the Hiver Customer’s team sends to the channel are stored by Microsoft in the organization’s Teams, under that organization’s agreement with Microsoft.
6. Microsoft Bot Framework. The Hiver app for Microsoft Teams is enabled by Microsoft Bot Framework. The Microsoft Bot Framework is a set of web-services that enable intelligent services and connections using conversation channels you authorize. As a service provider, Microsoft will transmit content you provide to our bot/service in order to enable the service. For more information about Microsoft privacy policies please see their privacy statement here: http://go.microsoft.com/fwlink/?LinkId=521839. In addition, your interactions with this bot/service are also subject to the conversational channel’s applicable terms of use, privacy and data collection policies. To report abuse when using a bot that uses the Microsoft Bot Framework to Microsoft, please visit the Microsoft Bot Framework website at https://www.botframework.com and use the “Report Abuse” link in the menu to contact Microsoft.
7. Where it is stored and for how long. We store this information on Amazon Web Services in the United States (us-west-2, Oregon). Hiver personnel and affiliates, including in India, may access it to support and maintain the service, as described in this Privacy Policy. Copies held in a Connected Platform are stored where that platform stores the Hiver Customer’s workspace. Transfers outside your country are made as described in Section 4 of this Privacy Policy. Information from the Teams app forms part of the Hiver Customer’s Hiver data. We keep it while the Hiver Customer uses Hiver and delete it on the same terms as the rest of the Hiver Customer’s data, as described in this Privacy Policy: within 14 days after the Hiver Customer’s access to Hiver ends, with encrypted backups kept for up to two more months. In addition:
Once an event from Teams is processed, we cut our technical record of it to IDs and remove its text, names and images.
If processing fails, we keep the full event so it can be retried, for up to 7 days.
Internal processing queues keep messages for 7 days.
Service logs are kept for 30 days, then archived for 90 more days.
You can ask us to delete information at any time, as described in Section 9 of this Appendix B.
Removing the app or disconnecting the channel stops new messages at once. It does not delete messages already delivered to the Hiver Customer, including copies in its Connected Platforms; the Hiver Customer controls those.
8. Security. All traffic to and from Teams and the Connected Platforms is encrypted in transit with TLS 1.2 or higher. Every request from Teams must carry a valid Microsoft Bot Framework token issued for this app. Messages are relayed only from the connected channel, and only when they come from the Microsoft 365 organization that connected it. Connection codes are random, single-use, expire after 30 days and are stored only as a keyed hash, and we limit how many wrong codes can be tried. Information we store for the Teams app, including its database and backups, file storage and internal queues, is encrypted at rest.
9. Your choices. To stop sharing, remove the Teams app from the team or ask the Hiver Customer to disconnect. For access, correction or deletion of support conversations, contact the Hiver Customer, which controls that information, including copies in its Connected Platforms; we will help it respond. You can also write to privacy@hiverhq.com, and we will pass your request to the Hiver Customer or act on it ourselves where we control the information. Your rights are described in Section 7 of this Privacy Policy. To report abuse or a security issue, write to security@hiverhq.com.
