Employees have adopted tools you don’t know about, sensitive files are being shared without context, and lifecycle events in your HR system still aren’t fully wired to your provisioning workflows. This spring, BetterCloud is closing those gaps with the Chrome Browser Extension for real-time SaaS discovery, Google Drive Labels in File Governance, and new triggers and actions to automate the moments that matter. But neither tells you what employees are actually using in the browser every day, and that gap is where shadow IT and shadow AI thrive. More automation triggers and actions to power the full employee lifecycle We’ve continued expanding what’s possible with User Automation this quarter, adding new triggers and actions for high-demand tools across HR and productivity. BambooHR: Two new triggers, User’s Termination Date Changes and User’s Hire Date Changes, make it easier to kick off timely, event-driven workflows directly from your HR system. Whether you’re automating offboarding sequences or ensuring new hires are provisioned before day one, these triggers give you a cleaner handoff between HR and IT. Office 365: The Create User and Reset Password actions now support dynamic password generation, removing the manual step of setting a password and ensuring newly created or reset accounts meet your security standards automatically. These additions move BetterCloud closer to true zero-touch automation, where every key moment in the employee lifecycle triggers the right action, in the right system, without anyone having to ask. Roadmap What’s new in BetterCloud: Winter 2026 Published March 31, 2026 The modern IT landscape moves fast, and your SaaS management strategy should move faster. Over the last quarter, the BetterCloud team has focused on delivering more granular control over your automated governance, ensuring that essential collaborations and sensitive data classifications remain uninterrupted while your environment stays secure. Whitelist emails and files in File Governance Cleanup policies are essential for maintaining a secure environment, but they can sometimes disrupt critical collaborations. Based on your feedback, we’ve introduced two highly-requested features to provide more granular control. Allow listed emails You can now protect individual external email addresses from automated cleanup policies. This is perfect for scenarios where you’re working with external consultants or partners, ensuring their access to shared files isn’t accidentally revoked. Allow listed files Similarly, you can now allow-list specific files to protect them from automated permission rollbacks. This ensures that documents intended for public viewing, such as those linked on your website, remain accessible without interruption. Refine your data with muted product usage insights Accurate data is the backbone of any effective SaaS management strategy. However, certain Single Sign-On (SSO) configurations can report “infinite” session durations or misleading activity levels, skewing your workspace analytics. To ensure you’re making decisions based on reality rather than noise, we’ve introduced muting product usage insights. This feature empowers Workspace Admins and Owners to flag products with inaccurate data, maintaining transparency and preventing misguided license management. Admin control: Admins can now toggle a “Mute Insights” action on specific products. This hides potentially misleading utilization charts from all users and replaces them with a clear message explaining the SSO data discrepancy. Intelligent guardrails: For muted products, “License Reclamation” calls-to-action are automatically disabled. This prevents the accidental removal of active licenses based on faulty “inactive” reporting. Cleaner dashboards: Muted products are automatically excluded from the inactive users card on your dashboard, providing a more truthful representation of your environment’s overall health. Enhanced visibility: A new mute icon and filtering options on the usage page allow you to easily identify which products are currently excluded from your insights. A slew of integrations and actions added to User Automation We have significantly expanded our integration library to help you achieve true zero-touch automation across the entire employee lifecycle. In the last year, we launched more than a dozen new integrations, adding over 100 new automated actions. High-demand applications now support impactful actions such as adding or removing users, revoking access levels, and updating departmental data. OpenAI: Automate user management and control access within OpenAI with 17 new actions, including adding a group to a project, assigning an organization role to a user, and unassigning a project role from a group. KnowBe4: Streamline the management of security awareness training assignments and user status with 9 new actions, including removing users from groups and updating groups. PandaDoc: Manage users and their access to document workflows automatically with 4 new actions, including creating new workspaces and adding users to a workspace. Contract Concierge improvements – now with support for subscriptions! 📥 The BetterCloud Contract Concierge has been overhauled with new enhancements for contract and subscription management capabilities. In-app ingestion within the Spend Optimization module now supports subscription uploads together with contract uploads. Additionally, new status updates were developed for submitted contracts and subscriptions, making it easier to edit or know if clarification of submitted uploads is needed. Access all pinned content via the pin icon in the search bar. Search within your pinned items for quick retrieval. Get helpful feedback when no pins or results are found. Simplify your workflow navigation with the new collapse sections feature Our new Collapse Sections feature helps you stay focused by letting you minimize sections in Workflow Builder, reducing distractions and improving efficiency. Easier navigation – Collapse sections you’re not working on for a cleaner view. Faster workflow creation – Focus on what matters without endless scrolling. Simply open Workflow Builder and click the minimize icon to tidy your workspace. Slack workflows can chill while waiting for replies Workflows can now pause and wait for responses directly in Slack. Continual expansion of license reclamation coverage We are strengthening our License Reclamation capabilities by adding support for more providers, helping IT teams save on costs and get better visibility into license usage.
